    Filters, refresh cadence, and what “day-of” means

    Overview

    RealNex Insights has its own filtering model and its own refresh cadence. Both are intentional and both are different from the CRM. This article covers what to expect from filters, what “day-of” means for refresh, and what to expect from load times.

     

    Set these expectations on day one and you will avoid 80 percent of the early questions.

     

    Filters

    Filters are independent from the CRM

    RealNex Insights filters and CRM filters are independent. They do not cross-sync in either direction.

    • Filtering in the CRM does not change what you see in RealNex Insights.
    • Filtering in RealNex Insights does not change what you see in the CRM.

    This is by design. RealNex Insights is a separate viewing layer for analysis. The CRM is for record management. They share the same data, not the same filter state.

    Filters reset between dashboard pages

    When you switch from one dashboard page to another (for example, from Active Projects to Closed Projects), the filters you applied on the first page do not carry over. Each page starts with its own default filter state.

    If you build a complex filter combination on one page, expect to rebuild it if you navigate away and come back.

    Saved filter views

    RealNex Insights does not currently support saving favorite filter views. This is a known feedback item logged with the product team. We will update this article when there is a change.

    Document complex filters as a Resource

    Until saved views are supported, document the filter combinations you rely on so you can rebuild them quickly. Capture the filter setup as a screenshot or a short Word doc, then upload it as a Resource inside the CRM:

    1. Open Tools > Resource.
    2. Click + New Resource and upload your screenshot or Word doc.
    3. Choose to share with your full team or with a specific team, doing so means anyone in your account can pull up the same filter recipe.

    This is a particularly useful pattern for leadership filters that the team should run consistently (for example, the firm’s standard pipeline-review filter set or a quarterly market-share filter on Lease Comps).

     

    Refresh cadence and what “day-of” means

    Once a day

    Dashboards refresh once a day. The data you see at any given moment reflects the most recent refresh, not the most recent CRM activity.

    We use day-of instead of real-time because daily is the cadence. A deal you closed an hour ago will appear in RealNex Insights at the next refresh, not immediately.

    Where to read the timestamp

    Every dashboard surfaces a refresh timestamp in the top-right of the view. Always read it before drawing a conclusion. If the timestamp is from earlier today, your view is current as of that time. If it is from yesterday, the next refresh has not happened yet.

    What to do if the data looks stale

    • Check the timestamp first. Most “stale” cases are simply pre-refresh.
    • If the timestamp is current and a record you expect to see is missing, the issue is more likely a CRM-permission or field-mapping issue than a refresh issue. See Why your dashboards may look different.
    • If you need a more frequent refresh, log it as feedback. Refresh frequency is a known interest area for the product team.

     

    Load time

    RealNex Insights loads in a few seconds for most accounts on the first visit, and faster on subsequent visits within the same session.

    Larger CRM databases will see longer first-load times because there is more data to render. Most users will not notice this. If your account is unusually large and load time becomes an issue, contact RealNex Support.

     

    Additional Options

    Print or export a single view

    To capture a dashboard view at a specific point in time:

    • Right-click on the dashboard and choose Print to capture a clean PDF.
    • To export the data behind a single visual, hover the visual and use the export-to-Excel option in the visual’s menu.

    Use it on any device

    RealNex Insights runs in any browser on any device, including iPad. Refresh cadence and filter behavior are identical across devices.

     

    Tips and Best Practices

    • Read the timestamp before you read the data. One glance prevents most “the numbers are wrong” questions.
    • Use day-of language with clients. Avoid “real-time” when describing RealNex Insights externally. Daily refresh is the cadence.
    • Build your filter once per session. If you plan to deep-dive a dashboard, set your filters and stay there. Switching pages resets them.
    • Save filter recipes as Resources. Use Tools > Resource > + New Resource to upload screenshots or short docs of complex filter setups, then share them with your team for consistent use.
