    Understanding RealNex User Roles

    RealNex supports role-based access suited to Commercial Real Estate teams. Roles include Admin, Manager, Agent/Broker, and Collaborator. Each role provides a unique set of permissions, from managing organizational settings to restricting access to sensitive CRM data, ensuring flexibility and security whether you’re boutique or an enterprise firm.

     

    How to Add a New User

    Navigate to Subscription / User Management

    1. Log in as an Administrator and use the Apps Nav Menu to navigate to "Account Account".
    2. Locate your subscription under the "Subscriptions" tab
    3. Click the 'View Details' Actions button

    Add New User to your Subscription

    1. Click "Assign User" and enter their account Email Address
    2. Click ‘Add User’ and enter contact details.
    3. Assign the appropriate user role (Admin, Manager, Agent/Broker, Collaborator).
    4. Set access levels for MarketEdge, CRM, MarketPlace, and other modules as needed.

     

    Customizing Permissions by Role

    Admins can fine-tune access for users, controlling visibility of deals, properties, project data, and marketing collateral. Customization could look like:

    • Delegate approval rights for CRM records and deals.
    • Enable or restrict data import/export functions.
    • Define access for MarketEdge, Transaction Manager, and MarketPlace modules.

     

    Reviewing and Auditing User Access

    Regular audits within RealNex are essential for data security and compliance. Admins should schedule periodic reviews to:

    • Review current user list and roles for accuracy.
    • Adjust access for onboarding or department changes.
    • Revoke permissions from former employees immediately.
