    Managing Export Permissions for Contacts & Data

    Exporting contact and data records in RealNex CRM is a powerful capability governed by robust user permissions. Only account administrators can manage and assign export rights to team members. If you can't export data to Excel, your permissions need to be updated. This article explains how export permissions work, why they're crucial, and the role of administrators in RealNex.

     

    Understanding Export Permissions in RealNex

    RealNex CRM restricts data export features based on User and Team permissions. Export access is intended for trusted personnel, ensuring sensitive commercial real estate data remains secure and minimizing the risk of accidental or unauthorized data exposure. The ability to export contacts and deal data is never granted by RealNex support, but by your internal administrator.

    • At the User level, the "Export data" Permission controls that user's ability to export lists (Call Lists, Email Lists, Properties, etc.) and generate reports.
    • At the Team level, the "Export 

     

    Assigning Export Permissions: Accessing Permissions

    1. Log in to RealNex CRM as an administrator.
    2. Navigate to "Settings" > "Administration" > "User Management."
    3. Click the 'edit' button for the User of which to adjust permissions.

    1. Enable/Disable "Export data" under "User Permissions."
    2. Enable/Disable "Export others' records" under "Team <everyone> Permissions." 
    3. Click into the "Teams Membership" tab and select a Team from the list
    4. Fine-tune by toggling the permission for each required Team.
    5. Save updates and notify the relevant users.

     

    Repeat this process for each User that needs to have their Export Permissions adjusted

     

    Troubleshooting Missing Export Options

    If you do not see the Output/Export option in RealNex, it’s almost always a permissions issue. Contact your account administrator rather than RealNex Support for assistance. 

    Only admins can make changes to your export status. For security and compliance, RealNex support staff cannot adjust user permissions.
