    Gmail Add-In for CRM

    Your business revolves around your email, so it's important that your CRM has the ability to work alongside your inbox. Your CRM should be able to collect contact information straight from your Inbox and allow you to organize and send it to your CRM database. 

     

    The RealNex CRM Gmail™ Add-In serves to do just that!

    Installing the Add-In

    To access the RealNex Gmail™ Add-In installation page, click here and click the “Install” button to add it to your Gmail™ account:

    Likewise, you can also access the installation page from your Gmail™ Inbox by using the “+” button at the bottom of the toolbar on the right-hand side of your inbox:

    From the ensuing popup window, type “RealNex” into the search box and hit Enter. You will find the Add-In available as the only option:

    Click into the search result and click “Install”:

    If prompted, sign in to your Google Account:

    Allow Access to connect your RealNex and Gmail™ accounts:

    Once you receive the confirmation page, click “Done” - the add-in has been installed!

    You can find the RealNex Add-in in the toolbar on the right-hand side of your inbox:

     

    Using the Add-In

    Opening the Add-In

    1. Open an email containing the Contact(s) you would like to add to your CRM and click the RealNex Add-In within the toolbar on the right-hand side of your inbox

    2. You will now see the Add-In on the right side of your screen. Click "Authorize" and allow popups to login and connect your RealNex account. Once connected, refresh your page to begin using the RealNex Add-In!

     

     

    Navigating the Add-In

    Buttons and Text Boxes

    1. Text Boxes

    • Assign to a Company
      • Only one Company can be selected
      • Begin typing the Company name into the textbox - if the Company exists in your CRM database, a dropdown list will appear with it listed. Select the correct company from the dropdown list and continue
      • If the Company does not exist in your CRM database, add a new Company to your database by typing its full name. Once you submit the Contact(s), the new Company will be added to your database, with the selected Contact(s) linked to it
      • Use the blue “Search for Company” button to open your RealNex Company table in a new tab - useful if you do not immediately know which Company to associate the Contact(s) to
    • Associate to a Group
      • Only one Group can be selected
      • Click the dropdown to view and select an existing Group to add your Contact(s) to 
      • You cannot create Groups from the add-in
    • Assign to Project as a Lead
      • Only one Project can be selected
      • Click the dropdown to view and select an existing Project to add your Contact(s) to as a Lead
      • You cannot create Projects from the add-in
    • Assign to Team
      • Only one Team can be selected
      • If left blank, the Team defaults to "Private"
      • Search, find, and select an existing Team to assign a record to it

    2. RealNex Button

    • Click the orange "RealNex" button at the bottom of the add-in to open RealNex in a new tab

    3. Help Button 

    • Click the blue Help button at the bottom of the add-in to view overall instructions, learn more about features and read FAQs.

     

    Existing Contacts

    Expanding the “x Contacts are IN your CRM” dropdown will reveal contacts in your selected email that are already in your CRM database.

    Click individual contacts to view their information, including their name, company, and email address. Edit the available fields from the Add-In and send it to your CRM using the blue “Update Contact to RealNex” button. 

    Otherwise, use the orange “View/Edit Contact in RealNex” button to open the contact record in a new tab and edit other fields.

     

    Adding Multiple Contacts

    Under the “x Contacts are NOT IN your RealNex CRM” section, use the checkboxes to select more than one Contact to mass add Contacts and assign them to a Company, Group, as Leads to a Project, and a Team.

    Once content with the Contacts and where they will be linked and/or assigned, click “Add Checked Contact(s)” to complete the action within your CRM.

     

    Adding a Single Contact

    Click on the name of any individual contact, under “x Contacts are NOT IN your RealNex CRM” to open the Contact Page. Here, you can determine the contact type, individually assign a Company, Group, as a Lead to a Project, or a Team. 

    As you will see, you also have the option to add more information, like their title, phone numbers, and a website. Click “Add Contact to RealNex” to send the contact to your CRM database.
